Privacy Notice

How Aawardz handles website enquiries, nomination correspondence and related personal information.

Last updated: 7 November 2026

Who handles your information

Aawardz is operated by Observer Dawn Media & Entertainment Pvt. Ltd., India. The Observer Dawn media team handles website enquiries and nomination correspondence. Contact observerdawn@gmail.com about your information or this notice.

For relevant London event administration and nomination review, applications may also be accessed by WCC Management UK Limited and the appointed jury. Your written event offer identifies the organisation responsible for your booking or paid service.

What you choose to share

Enquiries may include your name, email, organisation, phone number and message. Nomination correspondence may also include nominee and nominator details, professional profiles, management information, public supporting links, an optional address and your declarations. Attendance requests may include guest names, country, role and seat requirements; speaker proposals may include a biography, topic and professional links.

Information can come from you, an authorised nominator or event organiser, event records, and publicly available official or professional sources used for published profiles. Share information you are authorised to provide. Fields marked with an asterisk are needed to prepare a complete enquiry or application; other fields are optional. Missing required information may prevent us from processing your request. Please avoid unnecessary identity documents, health information or financial details. Contact the team first where a nomination concerns a child.

Private business-rating pilot

The free business health self-check stays in your browser page and does not send answers automatically. Separately, an authorised assessor may create a stored private pilot case after confirming applicant authority and consent. A case can contain the business identity, country, assessed activity, categorical questionnaire answers, dated public evidence links and passages, assessment reasons, assigned reviewer, decisions and change history.

Access to stored cases is restricted to the authorised assessor and the independent reviewer assigned to that case. Before a real pilot review begins, the team must confirm the permitted evidence and retention arrangements with the applicant. Do not provide identity documents, raw customer records or sensitive financial documents in this workspace.

AI research requires a separate deliberate action. Where enabled and consented, the declared business name, website or city, country, activity, category, team-size band and selected non-private categorical answers are sent to OpenAI for public-source research and draft findings. Contact fields, free-text notes and private answer choices are excluded. AI findings require human verification and do not approve a rating.

Independent approval and future public certificate verification are separate steps. Public verification requires explicit applicant consent and would show only the certificate holder, country, assessment scope and period, methodology, dates and current status. Private evidence, reviewer identities and private withdrawal reasons are not published. Real verified ratings and certificates remain held until the pilot and release requirements are met. Contact observerdawn@gmail.com about access, correction, withdrawal or retention of a stored pilot case.

How the email process works

Reviewing a form or downloading a copy does not submit it to the organising team. The public forms prepare a draft or downloadable copy in your browser. You send the email from your own account to observerdawn@gmail.com. Once received, the email and any attachments form part of our correspondence records. Your email service separately handles the draft, delivery and any copies in your account.

Hosting and security providers may process technical request information, including IP address, browser information and timestamps, to deliver and protect the website.

Why we use it

We use relevant information to answer enquiries, review nominations and speaker proposals, administer events, communicate outcomes and arrangements, prepare agreed research proposals, manage accepted services and address misuse or disputes.

Where UK data-protection law applies, responding to a requested quotation or booking can involve steps towards a contract or performance of that contract. Routine correspondence, proportionate event administration and security can rely on legitimate interests in operating the service and protecting it. Legal record-keeping can rely on a legal obligation. Where a purpose requires consent, such as optional promotional use, we will explain that purpose and request the appropriate permission.

The public business health self-check runs locally in your browser page. Its answers are not sent automatically to Aawardz or an AI provider and are not saved between visits. A downloaded snapshot contains the information you entered; keep it private unless you choose to share it. The website does not issue verified business ratings or rating certificates. Nomination decisions are reviewed by people; this email process does not make a solely automated award decision.

Who can see an application

The organising team, relevant event administrators, WCC Management UK Limited for relevant London arrangements, and appointed jury members may review the full application where needed for their role. Service providers supporting hosting, email or administration may handle relevant records. Information may also be disclosed where required by law.

Sending a nomination does not make its private application documents public or give sponsors access to them. Any agreed public profile, photograph, interview or promotional feature is handled under the relevant event arrangements and permissions. Existing public event archives and professional profiles can also be the subject of a privacy enquiry.

Processing locations

The Observer Dawn team operates in India and relevant London administration involves the United Kingdom. Email and hosting services may process information in other locations. Contact us before sending an application if you need details about the countries, recipients or transfer arrangements relevant to it. Any required arrangements for onward international sharing must be confirmed before that sharing takes place; this notice does not itself authorise a transfer.

How long records are kept

Nomination application files are retained for the review and event process. They may be removed after the event, with a policy maximum of 12 months from receipt. The organising team manages removal; the public email workflow does not promise automatic deletion from your own mailbox or third-party backups.

Other enquiries are kept while needed to answer them and complete the related follow-up. Separate transaction, complaint or dispute records may need to be retained for applicable legal or accounting requirements. Public editorial archives are reviewed separately from private application files. Contact us to ask about, correct or request removal of information relating to you.

Cookies and external services

Hosting services may use essential security or session cookies and technical logs. We have not added advertising or audience-tracking tools to the enquiry forms. Any additional optional tracking should be explained with the relevant choices before use.

Gmail, email apps and external media links are separate services with their own privacy and cookie information. Opening those services can involve their processing of information.

Your choices, rights and complaints

You can contact observerdawn@gmail.com to ask about access, correction, deletion, restriction or portability where applicable, or to withdraw consent for a purpose that relies on it. Withdrawal does not change processing that was already lawful. We may need proportionate information to verify a request and will respond within the applicable time limits.

You may object to processing based on legitimate interests, including direct marketing where applicable. Explain your request by email; we will consider it under the law that applies.

You can raise concerns with the organising team and with the competent data-protection authority. For UK data-protection concerns, information about complaints is available from the Information Commissioner’s Office. This notice will be updated when the service or its processing arrangements change.
